What Happens When a Branding Photographer Invests in Her Own Business: A VIP Day with Vivian Gasperotto

Vivian has been in my orbit for a few months now but because she is Sunshine Coast based, we hadn’t yet met in person. When I told her I was coming back north for a few months, she very quickly jumped in to book a VIP Day. Reading through her intake form the week before our session, I felt such a sense of understanding. And not just because I work with clients that are going through similar struggles in business. But because I saw myself so deeply in what she was experiencing from when I first made the leap from side hustle to full time.

She wrote about the feast and famine cycle she'd noticed in herself, busy shooting, so she'd stop marketing, then work got quiet, then she would panic and the cycle would keep repeating. She wrote about knowing what needed to be done but not doing it because it never felt urgent enough. And she wrote about having systems that were half set-up but didn't fully trust.

But this was the thing that stood out…

"When I saw your email about the client who had 6 months of procrastinated tasks finished in 6 hours, I honestly saw myself in that."

And that’s the thing. So many women in business are busy working in their business, that they don’t realise they keep adding to the to do list, then get frustrated at theirselves when they can’t quite get to the bottom of it. Then not to mention the blame cycle for not ‘doing enough’. Yeah, I get it.

But this is why the VIP Day exists and why so many women feel like a weight is lifted off their chest. Or in Vivian’s words ‘Hope’.

We had six dedicated hours together. We kicked off at Lil Canteen in Cotton Tree, and when she walked in, we had the biggest hug as if I was seeing a lifelong friend. It was this instant ‘Ohhhhh this is going to be so good’. I’m fairly sure I even said that to her ☺️

The first hour was all about understanding her business and the systems already in place. What happens when someone reaches out to you all the way through to the follow up after a photoshoot? She walked me through her Studio Ninja and I could instantly see what we needed to do. Whilst her Studio Ninja CRM system was working well at holding her paid clients with invoices and templates, she was having to input a lot of time into loading leads manually into the system and a lot of back and forth conversation through emails and texts, without really understanding whether these clients were ready to invest in her services.

Once we got clear on what needed to happen, we buckled in for the first 3 hours with Matcha and Chai and a whole lot of high energy. We just BOUNCED off each other and it was 😍

Whilst Vivian created her FloDesk account, I took her three seperate proposals she would manually send off to her leads, and compiled it into one, clear and professional pricing menu. We updated her Offerings and create a Menu that reflected her high standards and most importantly, felt aligned with her direction in business.

Then we shifted locations…

Midday came around and we shifted locations to change up our environment. We drove over to Beach Bars in Cotton Tree for lunch together and continue working towards the automations. Now that we had the menu created and her offer suite aligned, I got busy building her FloDesk forms, link in bio and email nurture sequence flow. Okay, what does that actually mean?

Now, when someone is interested in working with Vivian, they download her Services Menu either through her Link in Bio, Pop up or Embedded form on her website. Once they drop their name and email, they then receive the menu automatically into their inbox. As soon as that happens, it triggers a nurture sequence email over two weeks, where they get to learn more about working together with Vivian, softly nurturing them into enquiring for a Branding Photoshoot.

Everything is set up to nurture her prospective clients whilst she doesn’t have to lift a finger. That way she has more time to focus on creating value for her clients, working on her business and marketing herself through across all social media platforms (yep, not just Instagram).

At the end of the day, we did a 30 minute handover on everything that we built, so she has the autonomy over her systems and knows exactly what to do next.

I asked her how she was feeling and this is waht she said…

“I have hope…”

I’m not kidding you, I teared up when she said this because it’s so freaking real 🥹 So many women in business are INCREDIBLY good at what they do. They’re talented. They’re skills are unique to them. They’re delivering so much value. AND they’re spending so much time, energy and love to make it work full time.
